Positions

Receptionist//Office Administrator Houston, TX

We are currently seeking a personable, motivated, and proactive Receptionist/Office Administrator for our corporate office. The position will be the first point of contact for incoming guests to our corporate facility, which is located 5 minutes away from Bush Intercontinental Airport. This is a full-time, non-exempt position, with normal hours ranging from 7:30 AM-4:30 PM. We are looking for someone that wants to be in this role long-term.

This position is an integral, collaborative part of our organization. Duties will include, but are not limited to:

• Serves as first point of contact to our facility by welcoming & directing guests to our Corporate headquarters;

• Answering phones and directing calls to the appropriate individuals, researching and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating telecommunications;

• Preparing UPS shipments for Corporate staff;

• Providing guests with beverages, maintain executive conference room schedule, booking meetings, and preparing for those meetings by making food and beverage accommodations;

• Maintaining incoming check log for Accounts Receivable;

• Preparing employee break room first thing in the morning and in the late afternoon, ensuring that coffee station is adequately supplied;

• Maintains visitor//security log at reception area;

• Contributes to team effort by accomplishing related results as needed;

• Open, sort, prepare, and distribute incoming//outgoing correspondence and packages;

• Prepare reports and handle information requests;

• Prepare executives’ travel arrangements, including hotel and airline reservations, as requested;

• File and retrieve documents, records, and reports for various departments, when needed;

• Maintains tidy reception area;

• Prepare responses to correspondence containing routine inquiries;

• Maintains office supply inventory by checking stock to determine inventory level, as well as placing supply orders for executives and office staff;

• Follow-up with assigned tasks and;

• Other duties as assigned and the ability to work overtime as needed

Skill Requirements:

• Ability to multitask and work with strict deadlines

• Ability to follow instruction from executives and management for assigned tasks

• Excellent communication skills, both oral and written

• Intermediate MS Office (Word, Excel, Power Point, and Outlook) and PC Skills

• Must be a team player and have a go-getter attitude; someone that takes on tasks independently will be very successful in this role

• Needs little direction to complete tasks; can dictate degree of direction needed to complete tasks

Education & Experience:

• High School Diploma

• Minimum 2 years experience in a corporate office environment

This role reports to the Human Resources Director.
